This policy describes how Cristian Ruiz, operating under the trade name Kolibs Studio, domiciled at Villa Zaita, Ernesto Córdoba Campos corregimiento, Panama district, Republic of Panama, handles the personal data of people who interact with the AI agents we develop.

1. What data we collect

When you write to Kolibs Studio's AI agent on WhatsApp, we collect your name, your WhatsApp number, and the content of the messages you send, including text messages, voice notes, and images. If you send a voice note, it is automatically transcribed to text. If you send an image — for example, a payment receipt or a reference photo — it is stored and processed in order to handle your request.

2. What we use your data for

We use this information solely to handle your requests and book appointments through our automated assistant, and to follow up on the service contracted by the business you're speaking with.

3. Kolibs Studio's role

When a business hires our service, that business is the controller of its own customers' data. Kolibs Studio acts solely as a data processor, handling that data on the business's instructions and not using it for its own purposes.

4. Third-party services

To operate the agent we use: WhatsApp/Meta as the messaging channel; Anthropic as the artificial intelligence provider that processes message content, including images, to generate replies; and OpenAI for automatic transcription of voice notes. These providers process data according to their own privacy policies.

5. How long we keep your data

We retain conversation history and your contact details for as long as there is an active relationship with the business using our service, and for up to 12 months after your last interaction, unless you request earlier deletion.

6. How to request deletion of your data

You can request that we delete your information at any time by writing to the contact email below. We will process the request and confirm the deletion within a reasonable period.

7. Panama's Law 81 of 2019 on Personal Data Protection

Under Law 81 of 2019 of the Republic of Panama, data subjects have the right to access, rectify, cancel, object to, and port their personal information. You can exercise these rights by writing to the contact email below.

8. Security

Your data is stored on servers located in the United States, operated by DigitalOcean. By using the service, you accept this transfer and processing of data outside Panama. We apply reasonable technical measures to protect your information, including restricted system access and protected credentials. However, no system is completely foolproof.

9. Minors

Our service is not directed at persons under 18 and we do not knowingly collect personal data from minors.

10. Changes to this policy

We may update this policy from time to time. The last-updated date will always be visible at the top of this page.
